Positions are located at the Hardin Valley Campus in Knoxville, Tennessee.

 

Overview: 

The Energy and Science Technology Directorate is seeking to hire highly qualified Administrative Assistants who will focus on supporting diverse research staff and perform a wide range of administrative duties at our facilities at the Hardin Valley Campus.

 

Major Duties/Responsibilities: 

  • Schedule appointments, meetings, conference rooms, vehicles, and other resources as needed.  Coordinate domestic and international travel, process expense reports and reconciliation.  Plan and coordinate on-site visits with DOE Headquarter sponsors, industry, and academia.  Enter visitors in PAS, prepare agendas, reserve rooms, and arrange tours.
  • Prepare correspondence, Field Work Proposals, and other presentation materials according to ORNL Guidelines and via Microsoft Office software packages and route accordingly.
  • Answer phones, route phone calls to appropriate staff member and disseminate information.
  • Maintain a professional office atmosphere; greet and receive visitors (in person and over the phone) in a businesslike, courteous manners; establish and maintain effective working relationships with internal staff members and external contacts and perform administrative duties as assigned.
  • Verify, exchange, and disseminate information as appropriate; maintain files and records as needed.  
  • Plan and coordinate meetings, workshops, and conferences with attendees, including registration and regular communications.  
  • Keep current on ORNL business rules, procedures, and systems.
  • Ensure compliance with environment, safety, health, and quality program requirements.
  • Maintain strong commitment to the implementation and perpetuation of values and ethics.
  • Maintain consistent, reliable work schedule during core business hours to meet the needs of staff. 

 

Basic Qualifications:

  • High school diploma and a minimum of 2-4 years of relevant administrative support experience, or an equivalent combination of education, training, and experience required.
  • Administrative support requires proficiency in the following software systems: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat and the ability to learn various ORNL internal business systems. 
  • Excellent interpersonal and communications skills (verbal and written) and the ability to interact diplomatically and tactfully with people at all levels, both within and outside the laboratory.
  • The ability to maintain a consistent work schedule during core hours to meet the needs of staff.

 

Preferred Qualifications:

  • A working knowledge of administrative policies and procedures and familiarity with or the ability to learn ORNL Administrative Systems.
  • Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever-changing needs.
  • Set priorities, multi-task, and adapt to ever changing needs.
  • Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams.
