Overview:

Oak Ridge National Laboratory (ORNL) is the largest US Department of Energy science and energy laboratory, conducting basic and applied research to deliver transformative solutions to compelling problems in energy and security. We are seeking a Document Management Coordinator/Research Support Specialist who will support the Enrichment Science and Engineering Division (ESED) within the Isotope Science and Engineering Directorate (ISED). The position resides in ESED’s Technical Support Services group. ESED serves the nation in two critical areas: advancing enrichment technologies and exploring stable isotope production and applications. The division leverages an elite staff of scientists and engineers with the world-leading capabilities of Oak Ridge National Laboratory (ORNL) to deliver groundbreaking advancements with a variety of applications, from national security to life-saving medical treatments. ESED is the national steward for the research, development, and demonstration of enrichment technologies. ORNL is a recognized leader in centrifuge and electromagnetic enrichment technology. The Technical Support Services Group provides division-wide services in support of the strategic advancement of science and technology focused on the research and development of prototype enrichment devices for processing uranium-bearing and stable isotope compounds. The successful candidate will provide support for research and development using principles of Integrated Safety Management (ISM) within a division that supports multiple projects and programs.

 

You will work closely with a focused group of scientists, technicians, and engineers on challenging, fast paced technical projects in support of the DOE Isotope Program.   This has been a quickly expanding program at ORNL and offers significant opportunities for professional growth. Major Duties/Responsibilities: 

The selected candidate will work with ESED line managers, quality assurance representatives, project/program managers, and staff to support the creation and maintenance of division documents including plans, procedures, instructions, design packages, drawings, and test plans and instructions supporting Enrichment Technology research and development activities. This position requires excellent communication skills, a clear writing style, and a thorough understanding of both ORNL and ESED projects’ quality assurance requirements. The successful candidate will be responsible for the coordination of division documents through review, approval, and distribution with additional responsibilities including routing documents for review and approval, tracking comments and resolutions, providing applicable distribution notifications, and ensuring documents are available for use.

 

Document Management Coordination responsibilities:

 

  • Participate in the maintenance of Document Control procedures
  • Reserve and assign document numbers
  • Collaborate with Document Owners to coordinate the development (including formatting and technical editing), issuance, and distribution of new and revised documents
  • Manage the review of controlled documents, including facilitation of “round table” reviews
  • Receive, file, and maintain documents in approved data management systems
  • Organize design reviews, track reviewer comments and resolutions, and aid in the approval of project design deliverables
  • Maintain the location and version of controlled copies of ESED documents
  • Provide document management training and support to staff members for consistent group operation

 

The successful candidate will be required to effectively interact with various personnel and sponsors, both within and outside of ORNL. The ability to learn quickly and adapt to change is necessary. The candidate is expected to be able to work in a team environment with co-workers and management as well as perform independently. Excellent communication skills, including verbal, presentation, and writing skills are required.

Basic Qualifications:

  • Bachelor’s Degree with a minimum of 5 years of experience in the development and control of technical documents and procedures
  • Technical writing/editing
  • Ability to obtain DOE Q clearance
  • Experience in creating or working to a formal change control process

Preferred Qualifications:

  • Active DOE Q clearance
  • Certification or training in document management and/or configuration management practices
  • Experience in a Research & Development and/or testing environment
  • Working knowledge of Quality Assurance and product data management systems
  • Experience with the following:
    • SBMS and the flow down of requirements (internal and external) into project documents to ensure compliance
    • SharePoint administration
    • Creating and maintaining project forms
    • Records Management for government contracts
    • Marking, handling, and storage requirements of sensitive documents (e.g.: ECI, UCNI, SRD)

 

Special Requirements:

Q clearance: This position requires the ability to obtain and maintain a clearance from the Department of Energy. As such, this position is a Workplace Substance Abuse (WSAP) testing designated position. WSAP positions require passing a pre-placement drug test and participation in an ongoing random drug testing program.
