Overview:

The Performance Assurance Group of the Integrated Operations Support Division (IOSD) at Oak Ridge National Laboratory (ORNL) seeks an F&O Procedure and Document Control Analyst.  This position is responsible for providing overall direction and management of documents and records for the Facilities and Operations Directorate (F&O), including FMD, FIID, IOSD, LSD, LMD, LPD & UD.  The F&O Procedure and Document Control Analyst is expected to implement a comprehensive, effective document control program to support F&O.   The position requires an individual who is highly organized, self-motivated, and versatile with strong interpersonal skills, as well as effective oral and written communication skills.

 

Major Duties/Responsibilities:  

  • Efficiently and effectively serve as POC for developing/maintaining F&O procedures and documents (divisional and directorate specific).
  • Responsible for revising internal operating procedures (directorate/divisional specific) and other F&O related documents from cradle to grave as needed. 
  • Manage all documents and records within the Enterprise Document and Records Management System and Records Asset Management System as appropriate.
  • Analyze, assemble, archive and retrieve documents when necessary.  
  • Responsible for updates to the EDRM system as well as coordinating mandatory document reviews.
  • Collaborate with procedure owners to implement documents effectively.  Develop, manage, process, and maintain documents per SBMS requirements.
  • Professionally interface and assist with F&O management, tech staff, engineers and task leads on a daily basis regarding technical documents and records.
  • Manage the coordination of off-site record moves as necessary per the disposition retention schedule and SBMS:
  • Manage the coordination of revisions with engineering and technical staff for efficiency and effectiveness.  Instruct administrative staff in facility documents to be scanned and uploaded as necessary.
  • Comply and ensure requirements of SBMS Subject Area: R2A2 Records Management Officer are met by F&O staff. Ensures F&O staff awareness of identifying, maintaining and disposition of records in accordance with records management requirements. 
  • Work individually and as an active and contributing team member, manage time and work independently with minimum oversight, accomplish multiple tasks in a complex environment, with attention to detail and thoroughness, possess an enthusiastic and positive work ethic, and handle potential stressful situations.

Basic Qualifications:

  • BS degree with 5 years relevant experience or MS degree with 4 years of experience
  • 4 years of the experience in an operations environment  
  • Applicant must have excellent technical writing and verbal communication skills.

 
Preferred Qualifications:

  • Experience working in a research and development environment (i.e., DOE National Laboratory).
  • Procedure Writer Certification, Procedure Professionals Association (PPA)
  • Knowledge of technical issues, research activities and the impact of facility conditions and changes on tenant activities
  • Experience developing corporate level policies and strategies and preparing briefings to internal/external industry partners and senior management.  
  • Strong record of safe operations and safety improvement activities.
  • Exceptional teamwork skills, computer skills, organizational skills, and strong personal motivation with the ability to adjust to changing priorities are required. 
  • Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory.
  • Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.
