Overview:
The Pension and Savings Administration group within the Business Services Directorate (BSD) is looking for a highly motivated individual to join the Pension and Savings Administration team. The primary responsibility of the group is to maintain and administer the Pension and Savings Retirement Plans for the Employee of Oak Ridge National Lab. This position provides administrative support to the Pension and Savings Team.
Major Duties/Responsibilities:
- Manage all incoming and outgoing mail related to pension and savings operations.
- Review all incoming retirement paperwork for accuracy and completeness; scan documents to participants’ BlueFin records with an email notification to pension staff.
- Initiate outbound calls to verify and obtain missing or incomplete information.
- Respond to incoming phone calls, group emails, and walk-in inquiries in a courteous, professional, and timely manner.
- Initiates calls to obtain, verify, and exchange missing information in commencement packets.
- Prepares outgoing correspondence to participants in accordance with established ERISA, DOL and UT-Battelle/ORNL guidelines.
- Process pension contributions for employees on leave and coordinate deposits with the plan trustee.
- Serves as the point of entry for external inquiries into the Savings and Pension Operations organization.
- Support the preparation of presentations and reports for training, meetings, and compliance purposes.
- Assist with SRIC by coordinating member renewals, coordinating materials, vendors, and logistics.
- Support educational seminars, including scheduling rooms and coordinating with the BSD Communications Manager.
- Contact and collect SSA letters from active 70.5 employees.
- Monitor return-to-work lists, suspension of benefits reports, and related participant notifications.
- Track commencement lists for participants over age 65, 70.5, and surviving spouses.
- Point of contact for pension and savings SharePoint sites and document control.
- Maintains consistent work schedule during core hours to meet needs of staff. Occasional overtime may be required.
- Demonstrates consistent professional demeanor and presence to promote a business-like environment.

Basic Qualifications:
- HS diploma with a minimum of 2 years of related work experience or an equivalent combination of education, certification and relevant experience.
- Incumbent must be self-motivated and can perform independent problem solving and analysis.
- Must have strong organization skills, an ability to adapt to frequently changing requirements, and the ability to evaluate and prioritize assignments effectively to meet multiple deadlines.
- Strong interpersonal skills and the ability to communicate orally and written within a highly professional environment.
- Requires high level of accuracy and attention to detail.
- Excellent computer skills are required with common PC applications including Microsoft Excel, Access, Word and PowerPoint.
- Excellent written and oral communication skills.
- Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory.
- Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.
Preferred Qualifications:
- A general understanding of Defined Contribution and Defined Benefit Plans.
Security, Credentialing, and Eligibility Requirements:
- This position requires the ability to obtain and maintain an HSPD-12 PIV badge.
- For employment at Oak Ridge National Laboratory (ORNL), a Real ID compliant form of identification will be required.
- Additionally, ORNL is subject to Department of Energy (DOE) access restrictions. All employees must also be able to obtain and maintain a federal Personal Identity Verification (PIV) card as mandated by Homeland Security Presidential Directive 12 (HSPD-12) and Department of Energy (DOE) Order 473.1A, which requires a favorable post-employment background investigation.
- To obtain this credential, new employees must successfully complete and pass a Federal Tier 1 background check investigation. This investigation includes a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last year. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.
For foreign national candidates:
- If you have not resided in the U.S. for three consecutive years, you are not eligible for the PIV credential and instead will need to obtain a favorable Local Site Specific Only (LSSO) risk determination to maintain employment.
- Once you meet the three-year residency requirement, you will be required to obtain a PIV credential to maintain employment.
