Overview:
The Neutron Sciences Directorate at Oak Ridge National Laboratory (ORNL) is seeking a User Technical Coordinator to lead a team dedicated to supporting researchers conducting neutron scattering experiments at two world-class facilities: the High Flux Isotope Reactor (HFIR) and the Spallation Neutron Source (SNS). These facilities host over 1,000 unique researchers annually, contributing to breakthroughs in the physical, chemical, materials, biological, and medical sciences.

Major Duties/Responsibilities:

Leadership:
-
Lead and mentor the user assistant team, ensuring efficient operations for onboarding and supporting visiting researchers.

Manage team schedules and workloads and conduct regular feedback sessions to foster growth.

Operations & Process Improvement:
-
Oversee user onboarding, facility access, and check-in processes.
-
Collaborate with cross-functional teams to streamline workflows and enhance user experiences.

Maintain user spaces including computer workstations and other supplies.

Training Coordination:
-
Manage facility user training programs to meet user qualification requirements, ensuring compliance with facility and regulatory updates.

Develop and improve training materials and conduct periodic self-audits of relevant training and processes.

Quality Assurance:

Lead efforts to modernize processes, analyze root causes, and implement technical solutions.

Maintain accurate user onboarding records and respond to researcher queries regarding onboarding processes and requirements.

Maintain and develop internal and external communication materials including policies, procedures, guides, web content, and email templates.

Basic Qualifications:

A BS degree with at least 5 years of progressively responsible experience in an office or administrative setting.

Strong proficiency in administrative practices and Microsoft Office Suite (PowerPoint, Excel, Word, Teams).

Proven experience in developing, delivering, and assessing training programs.

Experience analyzing and implementing process improvements.
Preferred Qualifications:
-
Experience supporting a user office at a major research facility.
-
Familiarity with process improvement methodologies, such as Lean Six Sigma.

Working knowledge of ORNL systems, including SAP, PAS, and LRN, as well as NScD tools like IPTS, EXPRESS, and ITEMS.
